Heating and Cooling Guidelines

The Physical Plant is aware of the impact internal temperature variations can have on the comfort and productivity of building occupants. Therefore, we have developed the following guidelines to assist in the understanding of our goals for providing the optimum working environment. For problems with the temperature in your building or office call the Physical Plant service desk at 260-481-6832. The service desk will contact the appropriate maintenance personnel to resolve the issue.

Expectations

Most buildings have designated occupied hours. To help save energy, the building temperatures may be changed from the normal operating set points during expected unoccupied hours. If you plan to work during a designated unoccupied period, you may encounter temperatures that are different than during the occupied hours. It is advisable to be prepared with the appropriate clothing.

Heating

Heating Season: The goal is to maintain 67 degrees F in campus buildings during the winter season from October through April. While this is the goal, it should not be unexpected to see a few degrees difference in certain buildings.

Cooling

Cooling Season: The goal is to maintain 72 - 74 degrees F in campus buildings during the summer season from May through September.

Season Changes

It is difficult to present a simple description of the seasonal temperature switchover policy because of the variety of buildings and building HVAC systems. When determining the exact switchover date for each building, the Physical Plant considers prevailing weather patterns, the building's HVAC system, the system controls, and building usage. We then coordinate with the building maintenance staff to reach a mutually agreeable date for the switchover.

However, since the spring and fall temperatures can be extremely variable, even the best HVAC system can be put to the test in these conditions. Unfortunately a building's internal temperatures may vary by as much as 15 degrees F on a temporary basis during these unpredictable seasons.

Exemptions

For those wanting consideration for temperature sensitive animals or research, temperature exemptions are available by calling the Physical Plant service desk at 260-481-6832. Each request will be evaluated individually.

Building and Room Space

The Physical Plant maintains a database system with information concerning assignment and utilization of all space owned or operated by the University.

State institutions regularly collect and use data about physical facilities to help meet the needs for comparability across existing data systems. The responsibility to use and maintain its physical facilities effectively and efficiently rests with each Postsecondary institution. Information and analyses derived from the data are necessary for effective management and use of existing facilities, in planning for future expansion or retirement of unnecessary facilities, and in budgeting for necessary maintenance and modification.

Space Assignment

Each department is assigned specific space for use by the programs they administer. The Construction and Planning Group assesses all requests for space assignment, reassignment, or change of space. Proposals and recommendations are forwarded through IPFW's Administrative Services for final approval.

To Request Space

Call or e-mail the Physical Plant at 260-481-6832. Include the following information:

  • Type of facilities needed
  • Program to be housed
  • Funding sources
  • Timing – when needed

To Request New Construction

To request a new construction project fill out the Construction Project Request form.

Moving Guidelines

General Instructions

The University recommends that only the moving staff move desks, furniture, and boxes. If you wish, you can move personal items, plants, and lightweight items. The moving crew will not disconnect or reconnect electrical, plumbing, gas fittings, computers, or fax machines. If you have any questions, contact Building Services through the Physical Plant service desk 260-481-6832.

Recycle Bins

If you are cleaning out excess old papers and old files, extra recycle bins are available on request to meet your needs. Give 24-hour advance notice for your request so that we can provide the best possible service. After you have completed filling the recycle bins, notify the Physical Plant service desk, and Building Services staff will be happy to pick up the filled bins.

Trash Containers

Extra trash containers can be provided for extra trash (non-recycable). Contact Building Services through the Physical Plant service desk 481-6832.

Floor Plans

A drawing of how you want your new office arranged is most helpful. Tape a drawing to the door of your new space. The Physical Plant offers Floorplans online to the IPFW campus and will provide any floorplans you need upon request as well. Contact the service desk at 481-6832.

Keys

Submit key request for new keys and return your old keys to the service desk of the Physical Plant as soon as possible.

Telephone/Computer Needs

Contact Information Technology Services (ITS) at 481-6802 for any telephone or computer needs.

Furniture

Empty all items from desks, tall storage cabinets and all open book shelves completely. Furniture items may be placed on end in order to fit into moving trucks and/or elevators.

File Cabinets

File cabinets will be moved full except for lateral files (four and five drawer). These need to be emptied. Equipment. Empty all refrigerators and upright freezers. Some equipment may require disassembly for clearance reasons with proper approval (check your warranties).

Lab and Office Relocation

  • Make certain everything to be moved is marked (indicating room/location where it is to go)
  • Do not use stick on or "post it " notes unless they are taped on to items requiring to be moved
  • Only marked items will be moved
  • Empty desks of all contents
  • Remove all pictures from walls/doors
  • Empty all bookcases and bookshelves
  • Lock all file cabinets. If cabinets can not be locked due to key unavailability leave a note indicating "do not lock "
  • Empty 2 door storage cabinets (tall and small). Most cabinets have a false bottom and will be damaged in moving if loaded
  • Packed boxes with fragile items should be marked clearly as "fragile"
  • Personal Computers/printers/towers will not be moved by building services personnel. Make arrangements with ITS
  • Arrangements to have your telephones/computers relocated and transferred are the responsibility of individual departments
  • A plan view of the new office arrangement needs to be taped to the back door of new office showing furniture & equipment locations. Please use a tape measure to be certain desired location of items will fit in space indicated
  • All furniture and equipment that needs to be stored or placed in salvage sales needs to have the approval and work order from
    Nancy Grote prior to building services being able to relocate it
  • Personal items, rugs, heirlooms/glass & etc. need to be handled and moved by the occupant to insure these items
    are not damaged during the moving process
  • Painting, Stripping and Waxing request will be handled a schedule basis by the Physical Plant department on a work order basis
  • Boxes for packing need to be obtained from the Warehouse personnel
  • Steelcase relocation's need to be approved & designed through the Purchasing department & then scheduled through the Physical Plant Department
