Services

Custodial Services can be reached at all times for emergencies and planned activities by calling the Physical Plant service desk at 260-481-6832.

Buildings are cleaned using the following priority list:

  1. Restrooms
  2. Classrooms
  3. Entranceways
  4. Hallways
  5. Laboratories
  6. Offices
  7. Locker/Changing Rooms

Non-Routine Carpet Cleaning

For office carpet cleaning performed in addition to the once-per-year extraction as part of maintenance, please contact the Physical Plant service desk at 260-481-6832. You will be contacted by the custodial supervisor for your building. If you are not satisfied with our work, please contact the Physical Plant and let us know.

Window Blind Cleaning

We will, as part of our normal maintenance services, dust your window blinds once per year. We will also be the first to tell you that this is not nearly frequently enough to create a clean appearance or healthy environment. However, the cost to actually remove and ultrasonically clean all of our window blinds on campus would be in the range of $100,000 annually. For this reason, we have chosen not to use our resources to provide this service.

Locking and Unlocking Doors

The individual building custodian is responsible for unlocking and locking all building entries on the main campus, as well as select classrooms within the building. Buildings are unlocked by 7:00 AM Monday through Friday. On weekends and holidays, only those buildings scheduled through the campus scheduling office will be unlocked. Actual building lock-up time is agreed to depending on the individual building usage and need.

Our custodial staff will not unlock and provide access to buildings after hours when they are normally secured. The custodial staff will not unlock individual offices for faculty or staff members who have forgotten their keys. This is not our attempt to deny services, it is our attempt to protect the assets of the University.

Indoor Pest Control

This service is provided by Building Services Custodial Section, at our expense. If you have a need for this service, please call the Physical Plant service desk at 260-481-6832, and a time will be scheduled to perform the service.

Moving Guidelines

The University recommends that only the moving staff move desks, furniture, and boxes. If you wish, you can move personal items, plants, and lightweight items. The moving crew will not disconnect or reconnect electrical, plumbing, gas fittings, computers, or fax machines. If you have any questions, contact Building Services through the Physical Plant service desk 260-481-6832.

Recycle Bins

If you are cleaning out excess old papers and old files, extra recycle bins are available on request to meet your needs. Give 24-hour advance notice for your request so that we can provide the best possible service. After you have completed filling the recycle bins, notify the Physical Plant service desk, and Building Services staff will be happy to pick up the filled bins.

Trash Containers

Extra trash containers can be provided for extra trash (non-recyclable). Contact Building Services through the Physical Plant service desk 260-481-6832.

Floor Plans

A drawing of how you want your new office arranged is most helpful. Tape a drawing to the door of your new space. The Physical Plant offers Floor plans online to the IPFW campus and will provide any floor plans you need upon request as well. Contact the service desk at 260-481-6832.

Keys

Submit key request for new keys and return your old keys to the service desk of the Physical Plant as soon as possible.

Telephone, Computer Needs

Contact Information Technology Services (ITS) at 260-481-6802 for any telephone or computer needs.

Furniture

Empty all items from desks, tall storage cabinets and all open book shelves completely. Furniture items may be placed on end in order to fit into moving trucks and/or elevators.

File Cabinets

File cabinets will be moved full except for lateral files (four and five drawer). These need to be emptied. Equipment. Empty all refrigerators and upright freezers. Some equipment may require disassembly for clearance reasons with proper approval (check your warranties).

Lab and Office Relocation

  • Make certain everything to be moved is marked (indicating room/location where it is to go)
  • Do not use stick on or "post it " notes unless they are taped on to items requiring to be moved
  • Only marked items will be moved
  • Empty desks of all contents
  • Remove all pictures from walls/doors
  • Empty all bookcases and bookshelves
  • Lock all file cabinets. If cabinets can not be locked due to key unavailability leave a note indicating "do not lock "
  • Empty 2 door storage cabinets (tall and small). Most cabinets have a false bottom and will be damaged in moving if loaded
  • Packed boxes with fragile items should be marked clearly as "fragile"
  • Personal Computers/printers/towers will not be moved by building services personnel. Make arrangements with ITS
  • Arrangements to have your telephones/computers relocated and transferred are the responsibility of individual departments
  • A plan view of the new office arrangement needs to be taped to the back door of new office showing furniture & equipment locations. Please use a tape measure to be certain desired location of items will fit in space indicated
  • All furniture and equipment that needs to be stored or placed in salvage sales needs to have the approval and work order from
    Nancy Grote prior to building services being able to relocate it
  • Personal items, rugs, heirlooms/glass & etc. need to be handled and moved by the occupant to insure these items
    are not damaged during the moving process
  • Painting, Stripping and Waxing request will be handled a schedule basis by the Physical Plant department on a work order basis
  • Boxes for packing need to be obtained from the Warehouse personnel
  • Steelcase relocation's need to be approved & designed through the Purchasing department & then scheduled through the Physical Plant Department

Key Desk

Requesting keys for faculty, staff and students requires a Key Request form to be filled out by a department staff member which is forwarded to the Physical Plant service desk. Requests for great grandmaster keys will require approval of the Physical Plant Director.

Deposit

There is no deposit by the Physical Plant. However, some departments may have established internal access or key control requirements. The Physical Plant Director has the authority to review any special requirements before proceeding and retains the right to refuse to issue a key if the guidelines are not met.

Pick Up

The person who filled out the form will be contacted when the key is ready. Keys may be picked up at the Physical Plant service desk located at the entrance to the Physical Plant near the loading dock of Classroom-Medical Building.

Duplicate Keys

Multiple copies of the same key will not be issued to individuals or departments without explicit permission of the department head and the Physical Plant. Reproduction or copying of University keys is prohibited.

Lock Change Request

Before a lock change is initiated, a thorough review of the area affected is performed. Requests for lock changes are reviewed with the requesting party and Department Head before the change is made. This is done to avoid compromising anyone else who may need access to the area. In certain cases of security, a special series lock can be installed. These requests are limited and must have proper approval before proceeding.

When a lock change is necessary, the request must be made to the Physical Plant. Key request forms for the individuals affected by the re-key must be submitted to the Key Desk.

Note: All lock changes are subject to refusal when the change impacts access by maintenance, security or environmental health personnel.

Returning Keys

Individuals leaving the University or transferring to another department must return their keys.

Note: All keys remain the property of Indiana University - Purdue University Fort Wayne. Failure to return keys may result in legal action.

Lost/Stolen Keys

The Key Desk and the appropriate department head must be notified when an employee has lost their keys or if they have been stolen. The keyholder must notify the IPFW Police of the problem, as well as all affected parties. Charges could be imposed if re-keying is required.

Customer Service Desk

You may contact the Physical Plant Customer Service Desk by calling 260-481-6832.

The Customer Services Center handles or forwards requests for:

  • Emergency maintenance requests
  • Maintenance requests
  • Utility shutdowns
  • Unscheduled outages
  • Street closures
  • Utility locates

We also handle Small Projects/Remodels and Capital Construction or Addition Requests. Refer to Construction and Planning for more information.

The staff at the Physical Plant service desk will prepare the necessary internal work orders and expedite the request. The caller will be given a work order number. In the event you might call back to the Customer Services Center Desk regarding the status of your request, the work order number will help us serve you quickly and accurately.

How Work Is Scheduled

Physical Plant's first priority is the maintenance of IPFW's facilities and grounds. The Physical Plant makes every attempt to schedule work so that it can be completed when needed without disrupting any activities. Often, larger projects must be scheduled during a break period, such as in the spring, winter, or summer, when the location for the work is most accessible

Emergency Maintenance Requests

This work is scheduled as soon as possible after it is requested. This maintenance work if delayed, would cause or perpetuate a safety hazard, or disrupt the activities of IPFW faculty, staff, and students. Emergency Dispatch requests takes priority over all other Physical Plant work.

Maintenance Requests

These requests include those problems that can cause escalating damage to University facilities and property if not attended to quickly. Each incidence requires special consideration and response.

Utility Shutdowns

Utility interruptions will be scheduled with as much advance notice as possible to minimize disruptions. The Physical Plant will coordinate with Building Services and Maintenance staff to schedule the most appropriate date and time for utility interruptions to occur. Once a utility outage is scheduled, the Physical Plant will send out utility interruption notices.

Unscheduled Outages

All affected Departments, Schools, and University Agencies will be notified of unscheduled and emergency shut downs or utility interruptions. The University receives its utilities from outside sources and none of these utility systems are 100% reliable. These systems are subject to problems created by weather, human error, animals, vandals, etc.

Street Closures

In most cases, it is not feasible to consult the entire campus community before scheduling a street closure. However, campus events are carefully considered prior to setting the date for a street closure. Generally, two weeks to one-month advance notice is given to the campus community. The Physical Plant notifies all affected staff or faculty of the closure to prevent most headaches.

Utility Locates

Many of the utility services at the University are buried. Do not excavate, dig or sink stakes of any kind anywhere on campus without first having the utilities located. This service can be obtained from the Physical Plant.

Snow Removal

During the winter season, the Grounds Department is responsible for snow and ice removal within 20 feet of all campus building entries, and from the pedestrian walkways. Our primary emphasis is to maintain as safe a walking surface as possible.

All possible efforts are made to remove all snow and ice from campus walkways prior to the start of classes and to keep them clear the rest of the day. However, our resources are limited so we ask everyone to exercise caution and take personal responsibility for their own safety in inclement weather.
